We're seeking a Procurement & Project Operations Coordinator to support our project management and field operations teams. This role is essential to ensuring materials, documentation, and labor tracking are handled accurately and on time. You will assist with procurement coordination (without direct purchasing authority), vendor communication, purchase order creation, and operational paperwork that keeps projects organized and moving forward.


This position is ideal for someone who thrives on organization, enjoys working with multiple teams, and understands the importance of accuracy, follow-through, and clear communication in a construction environment.


Key Responsibilities:

  • Assist the project management team with procurement coordination by preparing and processing purchase orders (POs) for materials and subcontractors.
  • Communicate with vendors to confirm pricing, availability, lead times, and delivery schedules.
  • Maintain accurate procurement records, documentation, and project files.
  • Support project managers by tracking labor sheets, timecards, and related field paperwork.
  • Ensure all operational paperwork is completed, organized, and submitted on schedule.
  • Coordinate with field teams to collect required documentation and resolve missing or incomplete information.
  • Assist with job cost tracking by organizing labor and material documentation for internal review.
  • Help maintain consistent workflows between the office, vendors, and job sites.
  • Uphold company standards for organization, accuracy, and professionalism across all projects.

Qualifications:

  • 3-5+ years of experience in construction, landscaping, outdoor living, or a related operations or administrative support role.
  • Experience assisting with purchase orders, vendor communication, or procurement documentation.
  • Strong organizational skills with a high attention to detail.
  • Ability to manage multiple projects and priorities in a fast-paced environment.
  • Clear and professional communication skills, both written and verbal.
  • Familiarity with construction or project management software (Buildertrend experience preferred; training available).
  • A collaborative team player who aligns with our core values: teamwork, transparency, communication, integrity, and trust.
  • Bilingual in English and Spanish is a plus.
